Moving from Tally to Zoho Books: a step-by-step migration checklist
Moving from Tally to Zoho Books is mostly an accounting exercise, not a software one. Get the cut-over date and the opening balances right and the rest follows. This is the checklist we use on our own migrations.
1. Pick the cut-over date
The cleanest date is the first day of a financial year; the next best is the first day of a month after your returns for the previous month are filed. Everything before that date stays in Tally; everything after is entered in Zoho Books.
2. Clean your masters in Tally first
- Merge duplicate customers and vendors, and check GSTINs, states and addresses.
- Clean item names, units, HSN/SAC codes and tax rates.
- Close ledgers you no longer use so they don't come across.
3. Set up the Zoho Books organisation
- Organisation profile, GSTIN, place of business and branches.
- Tax rates, e-invoicing and e-way bill settings if they apply to you.
- Chart of accounts mapped from your Tally groups and ledgers.
- Invoice, bill and payment templates with your branding.
4. Import masters
Export customers, vendors and items from Tally to Excel, reshape them to Zoho's import templates, and import them. Spot-check a sample of each before moving on.
5. Bring across open transactions
Import unpaid customer invoices and unpaid vendor bills as at the cut-over date, so receivables and payables ageing work from day one.
6. Enter opening balances
Enter the trial balance as at the cut-over date. Receivables and payables balances come from the open invoices and bills you imported, so only the remaining ledgers are entered directly. Opening stock goes in item by item with quantity and value.
7. Reconcile before you switch
- Zoho Books trial balance equals the Tally trial balance as at the cut-over date.
- Customer and vendor balances match party-wise.
- Stock quantity and value match by item and warehouse.
- Bank balances match statements.
8. Run in parallel, then train
What does not come across, and what to do about it
- Old vouchers: we do not import every historical voucher. Keep Tally (or its backup) available for audits and look-ups, and start Zoho Books from the cut-over date.
- Custom Tally reports: rebuild the few your management actually reads as Zoho Books custom reports or dashboards.
- TDL add-ons: list what each add-on does; most needs are covered by Zoho Books features, workflows or a small Deluge function.
A typical timeline
For a single-GSTIN business with a few hundred items, a migration usually runs over two to four weeks: one week to clean masters and set up the organisation, one week for imports and opening balances, and one or two weeks of parallel running and training. Multiple branches, warehouses or GSTINs add time, mostly in reconciliation.
Common mistakes we fix
- Opening receivables entered as a single ledger balance, so customer-wise ageing is lost.
- Stock entered as one total value instead of item by item and warehouse by warehouse.
- A mid-month cut-over chosen before the previous month's returns are filed.
- Tally groups copied one-to-one into the chart of accounts, carrying old clutter across.
Sign-off checklist
Before switching off data entry in Tally, have your accountant sign off the trial balance, the party-wise balances, stock by item and the bank reconciliation as at the cut-over date. Keep that sign-off with your records; it is the first thing an auditor will ask for.
For the first weeks, check that daily entries post the way your accountant expects, then train each team on its own tasks: sales on invoicing, purchase on bills, accounts on banking and returns.
